ACQUIRING PROFESSIONAL DISC JOCKEY SERVICES

You have a wedding or other family occasion coming up. It's large enough to warrant your renting a function hall and you intend to invite your family and friends whose ages range from seven to seventy. Here begins a string of decisions that will determine the success of your function. Date, time, setting, cuisine, photographer, videographer are only some of the considerations. It is important to keep in mind that no matter how tasty the food, how elegant the setting or how good the photographer, your guests will leave your function remembering how good a time they had. This is a reflection on your choice of entertainment.

One of the key decisions in planning a successful function is to acquire entertainment that satisfies a wide range of musical tastes and spans a period of many years. There was a time when a "classy" affair necessitated hiring a band. Now however, professional disc jockeys are successfully entertaining in formal venues like the mansions of Newport, the states top country clubs and banquet facilities. Since they are able to carry a large repertoire, DJs are able to play suitable music for every type of function.

What should you look for in a professional disc jockey? Here are a few suggestions that may be of some help:

REPUTATION - Most reputable disc jockey services will have a demonstration video for you to view. This demo should give you an idea of the presentation that the entertainer will make at your function. A pleasant appearance and the ability to make clear and crisp announcements using a microphone are a must. The demo should also demonstrate that the DJ does more than spin disks. The equipment ought to be neat and cosmetically appealing.

CONTINUOUS MUSIC - DJs play continuous music beginning with the cocktail hour, through dinner, with dancing to follow. During the cocktail hour and dinner, music should be played at low levels allowing your guests to carry on normal conversations easily. Following dinner, music volume generally increases to levels suitable for dancing.

MUSIC SELECTION - A critical factor in choosing a DJ is music selection. Unlike bands which have playlists of only a few dozen songs, DJs carry thousands of titles. Since there is usually a wide range of ages present, the DJ should be asked about the specific types of music available. Most DJs have music listings that can be reviewed. Types of music that are normally available are: pop, rock, classical, jazz, swing, new age, country, and ethnic music. Many DJs also carry alternative rock and heavy metal. Titles and artists from the 1930's to the 2000's are now available on compact disk. Many of the original performances that were recorded decades ago have been digitally enhanced providing excellent sound quality. Records and cassette tapes reproduce music poorly compared to digital formats which are state of the art. Avoid those DJs still using vinyl records or those that have a pre-recorded show. Ask the DJ if you can program the music yourself by selecting a dozen or so titles or artists that you and your guests particularly enjoy. Every entertainer should be ready to play your requests. If there are songs you do not want played, be sure to inform the entertainer.

COMMERCIAL EQUIPMENT - A commercial sound system is necessary to provide a clean, clear sound at all volumes, soft and loud. Since the size of function halls varies, ask the DJ if he/she has performed there before. If not, specify the location and the approximate size of the room. Sometimes additional equipment is needed for very large rooms or for outside events. If lights are desired, be sure to ask for a description, power requirements and if there is an additional charge.

EXPERIENCE - Experience is important. You are paying for an entertainer, not someone who just plays music. Personality, the ability to make clear and crisp announcements and the talent for selecting music that will keep your guests involved is the mark of a professional. The best DJs teach line dances, run contests, use props and invite guest participation. If certain traditions are to be followed, make sure that the DJ understands what is expected. Hosts or hostesses are not always employed by halls. A seasoned DJ will know how to run and coordinate your function with the other professionals that you have hired.

CONTRACT - Having the date, time, place, price and terms clearly stated avoids confusion. I advise that the DJ be named on the contract (after all, you've chosen that "personality" to entertain). Most reputable companies require a deposit and normal fees range from $900 to $2,000 per function depending upon your entertainment and equipment needs. Some may charge travel time or may have an additional assessment for facilities where the access is difficult.

REFERRALS - Finally, "word of mouth" is an important tool to use in choosing your DJ. Ask for recommendations from family, friends or other professionals assisting you with your function. Several companies advertise in newspapers, bridal shows, and on radio and television. Wedding consultants and entertainment agencies also are a good source for referrals. If you have to use the "yellow pages" always ask for references and be sure to follow up. If your DJ of choice is booked, (many are booked up to 2 years in advance), ask for his or her recommendations.
